stay, free of hassles and stress. While your vacation is our main concern, understanding and adhering to our policies will guarantee your stay to be as fabulous as you dreamed it would be.
Advance Reservations
Reservations can be made up to one (1) year in advance, however rates and properties are not guaranteed. Rates and properties are subject to change without notice. A minimum payment of fifty (50) percent down per reservation is required at the time of booking the reservation. The advance payment is not a damage deposit.
Age Requirement
No reservations will be made to students or singles under the age of twenty-five. Underage drinking and/or partying are not allowed in any of the rental units. Parents must accompany their children under the age of twenty-five at all times. Non–compliance of these rules and regulations will result in immediate eviction with no return of any and all funds paid. Please contact a representative with any questions regarding this policy.
Beach Service
Beach service availability is seasonal only. Please contact a reservationist to determine beach service availability dates.
Check-In, Check-Out Time
Check-In is 4:00 P.M. or later. Due to our high standard of cleanliness, there is a possibility that your vacation rental may not be ready at 4:00 P.M. especially during peak seasons. Check-Out time is promptly 10:00 A.M. To avoid an extra cleaning charge; please wash the dishes, take out the trash, and leave the property in a neat and orderly condition.
Late Arrivals
For guests arriving after hours, there is a drop box to the left-side of our entrance door that reads, "Late Arrival Key Drop Box". Inside will be a packet with the name of the guest on the reservation and the property on it; included will be a map and keys inside. Please remove your packet and proceed to your property.
Beach Rules
Please make every effort to keep our beaches beautiful. Remove all tents, chairs, and toys from the beach each day. Observe the warning flags posted at every public access for your safety. Complimentary beach service (if applicable) is a seasonal service between March and October.
Golf Carts
Golf Carts are not permitted on public streets or roads. The operator must be sixteen (16) years of age or older, and have a valid driver’s license. If anyone is caught operating a golf cart under age, or without a license, the guest will lose the golf cart privileges. Ocean Reef will not be held liable for any injuries, deaths, or damages caused by the golf cart. The Ocean Reef guest will be responsible for any and all damages that may occur while in their use.
Neighborhood Rules/HOA
Most homes reside in residential neighborhoods controlled by a Home Owner Association. These associations have very strict rules that must be respected. Please contact an Ocean Reef representative to insure compliance, as most violations warrant a fine that the guest will be responsible for paying.
Construction
Ocean Reef cannot predict construction plans in the area and therefore cannot be held responsible for any inconvenience. No refunds can be given in the event of nearby construction.
Beach Access and Boardwalks
Our area is prone to hurricanes which may change the topography in many areas from year to year. Therefore, Ocean Reef does not advertise “Beach Access.” Steps, docks, and boardwalks may be missing or may not be replaced due to storm damage. The Department of Environmental Protection sometimes prohibits the reconstruction of steps in narrow beach areas. When you make your reservation, please ask your reservationist for beach access information from your beach home or condo. Likewise, the photos on the website may not accurately reflect the design of oceanfront steps, boardwalks, dune decks, docks, or gazebos.
Minimum Night Stay
All rates are based on a six (6) night minimum for advanced bookings. Reservations can be made for less than six (6) nights; however, this is subject to each property and availability. Please contact one of our reservationists with your exact dates.
Pet Friendly Property
Ocean Reef has an inventory of pet friendly properties. Dogs (twenty-five pounds or less) are allowed only at designated pet friendly properties. Any reservation made under false pretenses will be subject to forfeiture of any/all payments of rent and deposits, and the party will not be permitted to check in. If the party has already checked in, they will be evicted and subject to additional cleaning expenses.
Seasonal Guests
Any guests booked as a Seasonal Guest do not have access to any of the amenities provided by Ocean Reef. Guests are required to pay three hundred dollars ($300) within seven (7) days of booking and the first month’s rent is do thirty (30) days prior to arrival. Each additional month must be paid thirty (30) days in advance.
Pool Policies
Diving or jumping into the pool or Jacuzzi may result in head, neck, or spinal injuries. As the renter, you accept the risk of the pool and specifically agree that no minor will swim in the pool unaccompanied by an adult. Pool heat is offered seasonal between October and Early May, however, pools cannot be heated if the temperature is below fifty two (52) degrees or above eighty (80) degrees. For an additional cost of twenty five (25) dollars per day for most properties, the pool temperature will be set between eighty (80) and eighty five (85) degrees. Please contact an Ocean Reef representative for details about the additional cost. Community or condominium pools are not controlled or maintained by Ocean Reef Resorts, therefore cannot be held responsible for inconveniences resulting from the pool.
Trip Cancellation/Interruption Insurance (Travel Insurance)
Ocean Reef Resorts offers CSA travel cancellation/interruption insurance to every guest. CSA insurance is optional but is strongly recommended. Please note that pre-existing health conditions may not be covered. No refunds will be made in the event of a mandatory evacuation if guest does not purchase CSA insurance. For questions concerning the travel insurance, please call CSA directly at 800-554-9839. The insurance premium is non-refundable and non-transferable.

Trailers and RVs
Trailers and RVs are not permitted at most of our properties due to homeowner associations and size. Please contact an Ocean Reef representative for properties that allow them.
Method of Payment
When making reservations thirty (30) days or more in advance, method of payment is by credit card (MasterCard or Visa) for the reservation deposit. Remember that your final payment is due thirty (30) days prior to arrival. We will gladly accept personal checks for final payment if we have at least thirty (30) days to process the check. Accepted forms of payment are in U.S. funds only. For reservations made less than thirty (30) days prior to arrival, immediate payment in full is required by credit card (MasterCard or Visa).
Cancellation
You may cancel up to seven (7) days after your original booking date with no charge. Ocean Reef is no longer issuing any refunds for cancellations made more than seven (7) days from the booking date without the purchase of CSA Travel Protection Insurance. If you should have to cancel your reservation, please notify us immediately of any cancellation and if you purchased the Vacation Rental Insurance contact CSA to begin your claim. For questions concerning the travel insurance or to make a claim due to a cancellation, please call CSA directly at 800-554-9839. The insurance premium, six and one-half percent of the total (6.5%), is non-refundable and non-transferable. No refunds will be made in the event of a mandatory evacuation if guest does not purchase CSA insurance.
Administrative Fee
An administration fee of sixty (60) dollars will be added to each reservation for administrative and processing of your reservation and is non-refundable upon cancellation.
Housekeeping Fee
A housekeeping fee will be added to all reservations, regardless of the number of nights booked. The fee will vary depending on the size of the property. This fee covers the cleaning of the property upon departure.
Taxes
Florida sales tax is seven percent (7%). Walton & Okaloosa county occupancy tax is 4%, for a total tax of 11% (subject to change by state or local government) which is added to all rentals of 180 days or less. Guests are responsible for paying all applicable taxes in full prior to checking in. Taxes will be disbursed to the governing authority upon check-out and are subject to change without notice.
Special Events
Weddings and special events are not permitted at most properties; however please contact a Ocean Reef reservationist for available properties. An additional deposit may be required based upon the event and property. Please note some events require permits, contact the local authorities to ensure compliance.
Owner's Closets and Garages
Most properties have interior locked closets that are off limits to guests. Also, garages are considered "owner storage" and are off limits to the guest as well. Violation of this policy will result in additional charges under the Property Damage agreement.
Property Damage
In order to provide our guests with the best vacation possible, we ask that all damages to the property upon arrival are reported to Ocean Reef. An active credit card is required to maintain the reservation and the integrity of the unit. By signing this agreement you waive your right to dispute any charges that are made to your credit card regarding this policy. Non-billing stipulations include:
- No damage to the property or theft.
- No violations of rental or association policies.
- Rental is left in a neat and orderly condition.
- All garbage is removed from the house and pool areas.
- Ocean Reef will do everything in its means to notify you of impending charges; however, Ocean Reef reserves the right to bill the credit card for violations to the policy.
